How Docketra Handles Your Information

This policy explains, in plain language, what information Docketra receives and how it is handled when you contact us about filing coordination.

Our Approach

Docketra provides filing coordination and procedural support for professionals handling NCLT Mumbai matters. We understand that inquiries may relate to sensitive professional work. We therefore aim to collect only information that helps us understand and respond to your request, and to handle it with care, discretion and practical safeguards.

Information We Collect

When you use the inquiry form, we may collect your name, firm or organization, city, phone or WhatsApp number, email address, professional role, filing requirement, matter stage, defect status, urgency, preferred contact method and the message you provide. If you contact us by phone, WhatsApp or email, we may also receive the contact details, messages and documents you choose to share. You do not need to upload filing papers through this website.

How We Use Information

We use this information to understand your inquiry, contact you, assess whether the requested support is within Docketra's service scope, prepare a quote, confirm next steps and coordinate work after an engagement is separately agreed. We may also use basic inquiry records to manage follow-ups, improve our response process, prevent misuse of the form and maintain operational records. We do not sell or rent your personal information.

Communication Records

We may keep a record of emails, WhatsApp messages, calls, inquiry-form submissions and agreed status updates so that we can respond consistently and track the coordination requested. Communications may pass through service providers used for website hosting, database storage, email delivery or messaging. Their handling of information is also governed by their own privacy and security practices.

Confidentiality and Limited Sharing

Inquiry information is used for Docketra's operational purposes and is not shared more widely than reasonably needed. Where a service has been confirmed, relevant information may be shared with a person involved in that coordination, such as an authorized office contact or an agreed support professional. Docketra does not independently approach your client. We take reasonable care to limit access, although no website, email system or messaging service can promise absolute security.

Retention

We retain inquiry and communication records only for as long as they are reasonably useful for responding to the request, managing an engagement, maintaining business records, resolving concerns or meeting applicable requirements. Retention periods may differ depending on whether an inquiry proceeds. Information that is no longer reasonably required may be deleted or removed from active records.

Your Requests

You may ask us to confirm whether we hold your inquiry information, correct inaccurate contact details, stop non-essential follow-up communication or delete information that is no longer required. We will consider each request reasonably, while retaining any records that may still be needed for an active engagement, operational accountability or applicable obligations. To help us locate the correct record, please contact us from the phone number or email address used for the inquiry.
